Accounts Receivable Specialist

This full-time position is an in-office role located in the beautiful Gulch area of Nashville. It is an ideal match for an A/R professional with 2-3 years of prior A/R and/or finance department experience.

  • Conducts monthly billing
    • Tracks budgets and saves files in Box
    • Runs reports for beginning balance and BUs
    • Gathers billing instructions from Project Managers
    • Reviews/downloads time report Excel for each client/job to calculate splits
    • Gets approvals from Partners
    • Approves invoices before sending
    • Creates time details when needed
    • Tracks OOP reports to ensure billing
  • Maintains markdowns/revisions report
    • Tracks jobs for billing status
    • Keeps special billing notes
    • Enters figures to calculate markdowns / splits
    • Updates YTD
  • Coordinates accounts receivable data between Project Manager, Biller and Partner to produce monthly bills and detailed reports; Sets up new client billing accounts when requested by the Project Manager
  • Reviews contracts/opportunities for budget and billing requirements
  • Handles budgets, expenses, markdowns and split agreements
  • Maintains markdowns report
  • Coordinates special client invoice forms (such as percentage of minority vendors on state/metro invoices)
  • Advises internal employees regarding time entry error correction
    • Tracks missing time
    • Resolves time entry issues / time moves
  • Assists with job and out-of-pocket report setup
  • Enters billing data in State of TN / Metro required sites
  • Properly administers sales tax (consults with our sales tax accounting firm on as needed basis)
  • Prepares the monthly SMWBE reporting for government contracts
  • Resolves client problems/questions regarding invoices



  • 2-3 years of prior work experience working as an Account Receivable clerk or specialist.
  • Prior work experience administering: sales tax, monthly billing, billing markdowns, invoicing, and preparation of A/R reporting
  • High school diploma required; college degree in finance or accounting is a plus
  • Must have strong work ethic
  • Must be well organized and a self-starter
  • Must be able to follow standard filing procedures
  • Detail oriented, professional attitude, reliable
  • Proficient in MS Excel and MS Word
  • Possess strong organizational and time management skills
  • Strong problem-solving skills, basic client accounting principles knowledge, documentation skills, research and resolution skills, data analysis and multi-tasking skills
  • Ability to communicate In the English language both verbally and in writing
  • Ability to interact with employees and clients in an efficient and professional manner
  • Ability to work independently and with a team in a fast-paced and high-volume environment with emphasis on accuracy and timeliness
  • Ability to perform mathematical computations such as percentages and fractions quickly and accurately
